For schools

Harbor is set up around your school, not the other way round.

Your agents, host families and parents do their own part inside Harbor, so your office stops relaying and re-typing. When a school asks for a change, it is usually live within the week. And from October, Harbor Connect promotes your school to over 1,000 agencies without you updating a thing.

From schools on Harbor

We recently transitioned to Harbor, and we are extremely pleased with our decision. What has impressed us most is their willingness to act on feedback and implement practical improvements that make a real difference to our day-to-day operations.

Who it is for

What changes for each role.

International Director

You answer for the programme, and once a year for the Code. Harbor lets you see where both stand without asking anyone, from wherever you are.

  • Overdue work shows up the day it is overdue
  • What the office knows stays in the office when a person leaves
  • The evidence for the Code goes on file the day it happens

Applications, offers, visas, flights and agents, all on the one student record, and none of it in your inbox.

Homestay Manager

You carry the duty of care. Harbor carries the dates, the paperwork and the reminders.

  • Vets, visits and renewals show up weeks before they lapse
  • Check-ins go out by link; a concern opens a case that minute
  • Every placement is recorded with its dates

One person doing most of it

Many schools run international with one person and a part-time homestay manager. Harbor is set up so that person sees everything on one screen.

  • One list of what needs you, in order
  • Families, host families and agents enter their own part
  • Harry answers the questions that used to arrive as email

Pastoral care

Check-ins for every student and every host, on your schedule.

Short check-ins go to the student, the host family and the parent by link, on the interval you set or on your term dates, with the holidays skipped. The one that says "some concerns" is escalated that minute. Anyone who does not answer is chased.

For the holidays, the parent or the agent sends a transfer-of-care plan by link and the school approves it.

Who it works for

Built for the kind of school you are.

A secondary school with forty homestays and a primary school whose students live with a parent are not the same programme. A tick is a part of Harbor that kind of school uses.

Primary schoolStudents live with a parent or a designated caregiver. Caregiver applications, the home visit and the vetting run through the homestay part; under-10s are never placed without a parent. The student’s check-ins still go out, and short-term groups run as they do for any school.✓✓✓✓✓✓✓✓✓

Not a database to look after

Harbor’s database is in AWS Sydney, and there is nothing for your office to build or maintain. Everything a desktop database or a spreadsheet holds today is in Harbor, entered once by the person who knows it, and the reports and the evidence come out of the same record.

SmartSearch

Your policies and handbooks, searchable and cited, on a page families and staff can use. It is the same document library Harry answers from, and it works on its own for a school that wants the search first.

Harry, on your website

A chatbot for your school's website that answers from your own documents, says where the answer came from, and hands the enquiry to your office with the family's details. One script tag. It runs with the full system or without it.

Homestay pay

The pay run is already done by the time you run it.

Every night a student sleeps somewhere goes on the record the day it happens. The placement. The weekend away. The short stay. The move to a new family. By the time the fortnight ends, Harbor already knows, so nobody spends the Friday pulling it together from notes, emails and a spreadsheet.

Harbor does the arithmetic and the remembering, so a missed night or a double payment is no longer one person’s risk.

Short-term groups

A study tour is one record, not a spreadsheet and forty emails.

The agent lodges the enquiry and builds the roster. You send the quote, the MOU and the invoice from the same record. Students, supervisors, activities and host families sit under the group, and each student still has their own record.

  • Quote, MOU and invoice from one record
  • Supervisors and activities with the ratio checked, and an evidence pack for each trip
  • Each student placed in homestay individually, like any other student

Harbor Connect.

Every school gets a public page for agencies and families to find. It is drawn from available school content, so there is nothing to update or re-send. Schools are promoted to over 1,000 agencies. Agencies find their next partner school from the login they already use.

  • Your school, always current. Fees, term dates, programmes, homestay options and the documents agencies ask for, taken from your Harbor settings. Change a fee once and every agency sees the new one.
  • Agencies come to you. Over 1,000 agencies already work with Harbor schools. On Connect they find you, ask to partner, and sign your agent agreement online.
  • Families too. A parent researching at midnight in Seoul finds your page, asks Harry a question, and you have the enquiry in the morning.

Moving to Harbor

Harbor does the moving.

Your students, host families and agents are imported and your school is set up before anyone on your team logs in. Harbor can do its part within 48 hours; most schools take one or two weeks to get ready on theirs.

  1. 1Discovery callHow your programme runs today, what you use, and what is hardest. No pitch.
  2. 2Import and set-upStudents, host families and agents imported. Fees, branding, templates and your team set up around how you already work.
  3. 3OnboardingHands-on training for your team, in person where Harbor can. Harry answers the rest at any hour.
  4. 4LiveOne system, with support from the people who set you up. A school that talks to Harbor mid-term is usually live by the end of it.
Before the first call

Frequently asked questions.

Do families, students and host families need an account?
Parents and students do not. They work from links Harbor sends them. Host families get a login, or the school can do it for them. Agents and your staff have logins.
Does Harbor replace the system we use now?
Harbor will be your international management system, and it works alongside your school management system. Enrolled students are integrated with or exported to your school system for academic requirements.
How long does it take to get set up?
Harbor can have a school set up within 48 hours. Most schools take one or two weeks to get ready on their side. Your data is imported before your team logs in.
What does onboarding cover?
A discovery call about how your programme runs. Your students, host families, agents, fees, templates and team set up. Training for your team, in person where we can. Then live, with support from the people who set you up.
Do we pay for training?
Never. Our success is your success. You do not have to pay to learn how to use Harbor.
What does Harbor cost?
An annual licence per school, priced on the size of your international roll, plus a one-off onboarding fee. Contact us for a quote.
Does it cover the Code of Practice?
Yes. Every review, offer, vet, visit and check-in is recorded as it happens and filed against the requirement it evidences. One screen scores every host family and student against your obligations. The self-review report fills itself from the records.
Does it work for Australian schools?
Yes. Attendance, critical incidents, complaints and appeals, PRISMS deadlines, the annual declaration, the written agreement and the CAAW are all in Harbor. Direct reporting to PRISMS is coming.
Do our agents have to pay, or learn a new system?
There is no charge to agencies.
Does Harbor run host family payments?
Yes. Payments are worked out night by night from the placement dates, with away nights and surcharges applied by your rules. You review the run, export a bank file, and every host family gets a statement.
What is different about Harbor?
It was built for international departments, not adapted to them. Everyone does their own part: the agent, the host, the parent. The evidence for the Code is a by-product of the day’s work. When a school asks for a change, it is usually live within the week.
